Hey party planning fam!

Okay, so my sweet Emma (she just turned 5!) is OBSESSED with Barbie right now. Like, full-on Dreamhouse, pink everything, glitter explosion kind of obsessed. Of course, her birthday theme is locked in—Barbie! She’s got her little heart set on all her friends wearing party hats, which, adorable, right? But here’s the thing—I’m trying to get a handle on the budget, and those little hats add up fast!

I’m sending out invites to about 15 kids from her preschool class, plus her cousins (Chloe, the older one, is 10, and my Chloe is 3, then there’s Cole, 9, and little Diego, 1, who mostly just tries to eat everything, bless his heart). So that’s what, like 20 kids total? Plus, I figured us adults would skip the hats, but then my sister-in-law mentioned how cute it would be for everyone to wear one for pictures. Ugh! My brain is already fried from trying to figure out which Amazon Prime delivery has the best pink streamers!

So, my burning question is, for those of you who’ve done the Barbie bash thing, how many party hats do I need for a Barbie party without going totally overboard? Do all the adults really want one? Do the littlest ones actually keep them on? I’m thinking maybe 2-3 extra just in case some get smooshed, but then what if more adults suddenly want in? And where do you even find good Barbie hats that aren’t super flimsy? Any tips or tricks for a budget-conscious teacher mom would be amazing!

Hey Willow! Oh man, Barbie parties, classic! Ivy (my 2-year-old) is just getting into that phase, so I feel you. As a church youth leader, I’m constantly planning events and keeping track of supplies, so I’ve developed a pretty solid system. For a kid's party, especially with a specific theme like Barbie, I always try to nail down the headcount for accessories like hats pretty early.

Here’s my spreadsheet method, which might seem intense, but it saves me headaches (and money) in the long run. I usually make a column for "Confirmed Kids," "Confirmed Adults (Participating in Hats)," and then a "Buffer" of about 15-20%. So, if you’re looking at 20 kids and maybe 5 adults who *might* want hats, that’s 25. Add 20% (5 hats) for a buffer, and you’re at 30 hats. This accounts for kids who tear theirs, or those last-minute additions.

Regarding your question, how many party hats do I need for a Barbie party, I’ve found that younger kids (like your Diego and Chloe) often don’t keep them on for long, or they get smushed pretty fast. So for them, having a couple of spares on hand is great, but don't expect them to be perfectly coiffed all day. Adults – it really depends on the crowd. My wife’s family? They’d all want one. My side? Probably just the grandmas for a photo op. If you can, a quick poll in the family group chat can save you from over-buying.

I learned this the hard way last year. Beckett (my 12-year-old) had a superhero party, and I bought exactly the number of capes for the RSVPs. Willow, I hear you loud and clear! Party hats are such a fun detail but can definitely throw off the budget and your sanity. As a foster dad with a pretty wide age range (Isla is 1, Stella 2, Nora 5, Liam 6, and Ivy is 11), I’ve learned to get super creative and resourceful. For how many party hats do I need for a Barbie party, my rule of thumb is always "one per kid, plus five." Not five percent, just five extra.

Why five? Because invariably, one will get sat on, one will go flying into the punch bowl, one will be claimed by a sibling who didn't get an invite, and two will just mysteriously vanish into the party dimension. For adults, I usually make a small stack of "honorary" hats near the entrance or photo booth. If they want one, they grab one. I don't count them in the main supply because, honestly, most adults just want to look silly for a minute and then take it off.

My trick for making them special without breaking the bank is DIY. For Nora's last party, which was a sort of "fairy princess meets astronaut" theme (you know how 5-year-olds are!), I bought plain pink cone hats in bulk – like a 20-pack for $8 at Hobby Lobby. Then I let the kids decorate their own as an activity! I set out some craft glue, some small stick-on gems, a few feathers I had leftover from another project, and some Barbie-themed stickers. Instant personalized party hats! It also doubled as an activity to keep them busy for a good 20 minutes while I got the snacks ready. We had some pretty wild designs, let me tell you.

One time though, for Liam's pirate party, I got these really cool eye patches. Thought it was a brilliant idea. But then halfway through, about half the kids had taken them off and were using them as slingshots with grapes. Total disaster, I had to confiscate them all! So, yeah, sometimes creative goes wrong. But hats are usually pretty safe. If you need inspiration, check out how people handle party supplies for other themed events – sometimes the solutions are pretty universal, like for a scavenger hunt party, you might need a whole different approach to keeping track of things!

And for sturdy hats, sometimes you can find a good pack of Kids Birthday Party Hats 11-Pack online that are decent quality without being too pricey. That way you don't have to worry about them collapsing during the "Happy Birthday" song.

Oh my goodness, Willow! Barbie parties are THE BEST! Maya (my 8-year-old) had one last year and it was literally a sea of pink and glitter! You are so right to think ahead about the hats, it’s always one of those things that sneaks up on you, isn’t it?!

I totally understand trying to figure out how many party hats do I need for a Barbie party! For Maya's party, we had about 18 kids (ages 7-9 mostly, plus my younger ones Max, 1, and Chloe, 2, who mostly just looked confused by the hats!), and I bought a pack of 25 hats. And guess what? It was perfect! We had a few left over, which was actually great because Maya and Aurora (10) loved playing dress-up with them for weeks afterward. My rule is usually "one for every kid invited, plus five, because you just NEVER know!" Those extras are gold for spontaneous photo booth fun or when one gets sacrificed to the party gods (usually by falling in cake, haha!)

As for adults, I don’t usually bother with hats for them unless it’s a really silly crowd! My goldendoodle, Zoe, actually ended up wearing one longer than most of the toddlers last year! If your sister-in-law wants one for pictures, maybe just have a couple of "special" ones set aside for key family members? That way you’re not buying 15 extra hats that no one really wears. Or, honestly, sometimes a cute headband with some sparkly pink ribbon can serve the same photo purpose without the hat commitment!

I second Caleb's idea about letting them decorate their own! We did that for Finn's (13) superhero party once with plain masks, and it was a total hit! Kept them occupied and they loved showing off their creations. It was a chaotic mess of feathers and glitter, but SO much fun! Definitely a backup plan for sure.
