Moana Party Napkins Dilemma – My Spreadsheet Says WHAT?!

Moana Party Napkins Dilemma – My Spreadsheet Says WHAT?!
Alright, GINYOU fam, Leo from Austin here. Usually, my party planning is pretty locked down. I've got spreadsheets for RSVPs, menu planning, activity rotations, even a sub-tab for balloon inflation schedules. Piper's 4th birthday is coming up, and she's deep in her Moana phase, so obviously, we're doing a Moana party. Easy, right?
Wrong. I'm stumped on something that should be simple: the moana party napkins set. You'd think it's a no-brainer. But I've been looking online and at Party City, and there are, like, eleven different variations of Moana napkins! Some are big, some are small, some come with plates, some are just napkins, some are 16-count, some are 20-count. Itβs making my data-driven brain short-circuit.
My typical process is: estimate 1.5 napkins per kid, 2 per adult for a cake-and-snacks party. For Piper's party, we're looking at about 15 kids (Noah, Piper, and Miles's friends plus family) and maybe 10 adults. So, roughly 22-25 kid napkins, 20 adult napkins. That's a total of 45-ish napkins. But then I see these sets, and I'm wondering if I should just get a standard moana party napkins set for cake and then plain blue ones for snacks? Or go all-in Moana for everything?
I found a 16-count Moana lunch napkin pack at Target for $3.49 and a 20-count beverage napkin pack for $2.99. Then thereβs the bigger "deluxe" set with plates and cups for $18.99 that has 8 dinner napkins. The cost per napkin really jumps with those sets. I photograph everything, so I want it to look good, but also, it's a napkin. It's going to get crinkled and probably thrown away with a piece of cake on it.
Anyone else overthink this? What's your go-to strategy for party napkins, especially character ones? Do you mix and match? Do you splurge on the themed ones or just get plain colors that match? I'm trying to optimize for cost, aesthetics, and not ending up with 300 leftover napkins. Also, thinking about the whole table, I did pick up this Moana Party Tablecloth Set, which is awesome, so I don't want the napkins to clash.
Help a spreadsheet-loving dad out before I make a pivot table for paper products!

Leo, man, I feel you. Napkins. They seem so simple, then BAM. Overwhelm. Happens every time. I tried to do a themed party for Noah's 6th last year, space alien. Bought those cool alien head napkins. Thought, 'Hey, these are great.' Ordered two packs of 12. Twenty-four napkins. For like 20 kids and 8 adults. Math, right? Wrong.
The kids, they grab three at a time. One for their juice, one for their cake, one just to wipe their hands because it's fun. We ran out halfway through cake. Had to scramble for paper towels from the kitchen. It was a mess. Noah didn't care, but I sure did. Self-deprecating laughter at my own expense. Now I always overbuy. Always. For the next party, I'm just getting the giant bulk pack of plain blue napkins and calling it a day. The 'theme' is in the cake, right?
This year, for Noah's Boy Scout troop meeting (which is just Noah and me, for now), I was planning on reusing some old camping-themed decorations. Not much need for a fancy moana party napkins set there, thankfully. But if I were you, I'd get the cheapest themed ones for the cake table pics, and then huge stacks of plain complementary colors for everything else. No one remembers the napkins, trust me. They remember if they had enough. Or if they got cake on their shirt because there weren't any napkins. Don't be me.

Oh man, Leo. Napkin-gate. It's real. My philosophy is minimal effort, maximum impact, and by impact, I mean the kids having fun and me not losing my mind. Asher (2) and Theo (8) could not care less if their napkin has Moana's face on it or if it's a plain white square. As long as it can absorb juice. Or glitter. (Which, Jayden, I totally get. Glitter cleanup is a special kind of hell.)
My go-to is usually hitting up Wawa for coffee, then heading to the dollar store or the party supply aisle at ACME for their solid color packs. I'll get a pack of themed napkins if they're super cute and cheap, mostly for the "Instagram moment" when I snap a quick pic of the table spread. But realistically, the kids are going to be sticky, and they need a lot of paper. For Theo's last birthday, we did a general superhero theme, and I found these cool comic-book style napkins that weren't specific to any character for like $2.00 a pack. But then I also bought a huge pack of yellow napkins because it matched his favorite superhero's cape. And those were the ones everyone actually used.
I totally get wanting things to match. I'm obsessed with matching colors too, it's an event coordinator thing. But for my own kids' parties? Relax. The "fun" is the theme, not the paper product uniformity. If you want a good laugh about specific napkin discussions, you should check out the Bluey Party Teens Adults Napkins Discussion, because apparently, us grown-ups have strong opinions too. But seriously, go simple on the napkins. Spend that mental energy on something more fun, like making sure you have enough coffee for your caffeine habit!

Hi Leo! Yuki here from Des Moines. I totally appreciate the spreadsheet approach to party planning; itβs how I manage my nannying schedule and household budgets. Efficiency is key, especially when youβre wrangling little ones like Piper and Asher. For a Moana party, I can see how youβd want to keep the theme consistent, and a nice moana party napkins set really ties the table together for photos.
Hereβs what I usually advise for families I work with: Calculate your absolute minimum. If you have 15 kids and 10 adults, and everyone gets one napkin for cake, thatβs 25. But kids are messy, and adults might need one for cake and one for a drink. So, Iβd aim for at least 1.5 times your guest count, maybe even double for kids. So 25 guests * 1.5 = 37.5. Let's round up to 40. Double for kids would be more like 50.
If you find a specifically branded moana party napkins set thatβs affordable (like those 16-counts for $3.49), grab two or three of those for the main food/cake table. That gets you 32 or 48 themed napkins. Then, for general use, I always recommend supplementing with large packs of solid-colored napkins that match the Moana color scheme (teal, orange, pink). You can often find these at Hy-Vee or even Costco for a much better bulk price. A 100-count pack of plain teal napkins might be $5.00, significantly reducing your per-napkin cost and ensuring you don't run out.
Another tip for efficiency: I often pair themed items with practical, reusable elements where possible. For instance, instead of themed cups that just get tossed, you could use solid-colored reusable cups that tie into the theme and then send them home as favors. And while you're thinking about paper products, don't forget the fun stuff! We recently used these Kids Birthday Party Hats 11-Pack for a party, and they were a huge hit, super cute and durable. Just something to consider for another easy win on the party front!
By splitting your napkin strategy, you get the visual appeal you want for Leo's photos, satisfy Piper's Moana obsession, and keep your budget and excess napkin count in check. Good luck with the party planning!
